This article explains how to set default Productivity %, Recovery %, and Sell Rates in Magnifi, and how to control whether Sell Rates are entered at the Organisation or Divisional level. Capacity Rates provide the default settings that flow through to Annual Capacity and Monthly Capacity.
Use this guide when you need to:
• Set standard Productivity %, Recovery %, and Sell Rates for your organisation or divisions.
• Apply consistent default assumptions that flow through to all employees.
• Control whether Sell Rates are fixed (locked) or default (editable).
• Choose whether Sell Rates are managed at the Organisation or Divisional level.
Go to Capacity > Capacity Rates.
Rates entered here automatically apply to all employees within the organisation.
Enter the default Productivity %.
The default will automatically apply to all new employees.
You can override the Productivity % per employee under Annual Capacity or Monthly Capacity.
Enter the default Recovery %.
This percentage represents the proportion of productive time expected to be billable.
The Recovery % applies at the organisation level, meaning it cannot be changed per employee.
If updated, the default Recovery % automatically flows through to Annual Capacity and Monthly Capacity.
Enter the default Sell Rate at either the Organisation or Divisional level:
• Organisation level – one rate applies to all divisions.
• Divisional level – separate rates can be set for each division.
You can choose to enter either a Default or Fixed Sell Rate at either level:
• Default Rate – acts as the system default but can be overridden per employee.
• Fixed Rate – locks the Sell Rate so it cannot be changed per employee.
If no Sell Rate is entered here, the Sell Rate cell will appear blank under Annual Capacity or Monthly Capacity, and you can type the rate directly there.
Magnifi will still calculate both Capacity $ and Capacity Hours regardless of whether a default or fixed rate is entered here.
New employees automatically inherit the relevant Sell Rate based on the Organisation/Division setting.
The Divisional Employee Rates checkbox is unticked by default. This means you cannot have different employee rates for different divisions. The rate entered for an employee will apply across all divisions.
When unticked, the Sell Rate can be edited at either the Organisation or Divisional level (since both represent the same rate).
If Divisional Employee Rates is ticked, different employee rates can be applied per division.
When ticked, rates must be entered at the Divisional level, and the average rate will appear at the Organisation level. You can only edit the rate at the divisional level.

The default leave entitlement % is entered under Capacity > Capacity Rates.
Default percentages are prefilled as follows (editable if required):
• Annual Leave: 7.69% of hours worked (equivalent to 4 weeks)
• Personal Leave: 3.85% of hours worked (equivalent to 10 days)
• Public Holidays: 3.46% of hours worked (equivalent to 9 days)
• Long Service Leave: 0%
You can edit the rate by employee under Capacity > Annual Capacity by expanding the employee dropdown.
The default full-time hours per week is 38, which can be edited if needed.
This value is relevant when:
a. Adding a full-time employee under Labour Drivers.
b. Calculating Available Hours for Capacity projections.
The Overtime % is not entered under Capacity Rates.
• Default Overtime % is entered under Labour Drivers – Gross Wages.
• This value is used when calculating Available Hours under Annual Capacity.
• Divisional flexibility: You can manage Sell Rates at either Organisation or Divisional level, and choose whether each is Fixed or Default.
• Recovery consistency: The Recovery % applies equally across the organisation and cannot be changed per employee.
