This article explains how to assign employees to divisions under Labour Drivers in Magnifi. Assigning employees ensures that payroll costs are correctly distributed across divisions and flow into the Profit and Loss Projection at divisional level.
Use this guide when you need to:
Allocate an employee’s time or cost across multiple divisions.
Ensure divisional reports reflect the correct share of labour costs.
Adjust employee allocations when their workload changes between divisions.
Go to Options > Division Allocation under Labour Drivers.
For each employee, enter the % allocation across the relevant divisions.
The allocation must total 100%.
If an employee is not allocated to a division, their cost will appear at the All Divisions level.
This is common for administration employees who support all divisions.
When entering hours per week, you have two options:
Organisation Level (simplest):
Enter the employee’s total weekly hours at organisation level.
Hours are automatically split across divisions based on the allocation % you set.
Best suited when employees rarely move between divisions.
Division Level:
Enter hours directly at a divisional level.
Useful if an employee’s time is expected to vary between divisions over the forecast period.
Example: An employee works 40 hours per week and has a 50% allocation to Division A (20 hours). From April, their allocation drops to 25% (10 hours). Labour costs automatically update from April onwards.
If you are entering hours at divisional level, you can quickly update them by:
Updating the employee’s divisional % allocations.
Going to the Hours per Week tab for the relevant division.
The current hours reflect: total weekly hours × divisional %.
Changing the Start Month to the month when the new allocation should apply.
Using Copy All to apply the updated hours into future months.
Repeating for each division as needed.
⚠️ If the sum of divisional hours does not match the All Divisions total, the values at All Divisions will display in red.
What happens if I don’t allocate an employee?
Their costs will default to the All Divisions level.
Can I split an employee across more than two divisions?
Yes. You can allocate percentages across multiple divisions as long as the total equals 100%.
What if allocations change mid-year?
Update the % allocation from the relevant month and use Copy All to apply changes forward.
Will my actuals match if allocations differ in my accounting system?
To align Actual vs Budget reporting, consider how employee costs are recorded in your accounting system before setting divisional allocations.
