Magnifi Lock Periods – Finalise and Protect Profit and Loss Data

Lock Periods

Purpose

The Lock Periods feature helps keep your data accurate and secure. Once a month is locked, no further changes can be made to that period. Locking also tells Magnifi that the month is finalised and the dashboard will automatically default to the last locked (finalised) month when showing reports.


When to Use

Lock periods when:

  • You’ve finished entering and checking results for a month.

  • You want to prevent users from accidentally changing past data.

  • You want the dashboard to show all users the most recent month that has been finalised.


How To

Lock a Period

  1. Go to Profit > Profit and Loss.

  2. Find the month you want to lock and click the open padlock icon.

  3. Magnifi will ask if you also want to lock all earlier months (to keep results in sequence).

  4. Confirm, and the padlock will close — showing the period is locked.

Unlock a Period

  1. Go to Profit > Profit and Loss.

  2. Click the closed padlock icon next to the month.

  3. Magnifi will ask if you want to unlock all future months.

  4. Confirm, and the padlock will open again.

Dashboard Default to “Last Finalised” Month

  • Once you lock periods, the dashboard will automatically show the last locked month, which Magnifi calls the Last Finalised month.

  • This gives all users a clear marker of where the accountant has signed off results.

  • Example: If you are in July but the last locked month is May, reports will default to May. Users can still view June, but they’ll know those results are not yet finalised.


Tips / FAQs

Can I lock just one month?
No. When you lock a month, all earlier months are also locked to preserve the sequence of actual results.

Who can lock or unlock periods?
Anyone with access to the Profit menu (including all users with Accountant access).

Does locking affect reports?

  • Reports can still be run for any month, whether locked or unlocked.

  • The only change is that dashboards will default to the last locked month (or the last month if none are locked).
