This article explains how to add and manage users in Magnifi. The process depends on whether you are adding a user to a single organisation (e.g. business owner) or adding a user within an advisory firm who needs access to multiple organisations.
Use these steps when:
You want to give a business owner or employee access to a specific organisation.
You are an advisor and want to provide team members access across multiple organisations.
You need to re-invite an existing user or update login details.
You want to check your access level.
Select Users in the top right corner.
Enter the user’s details.
Choose User Type:
Accountant – full permission.
Custom – customise permissions using the available selection list.
If you are using consolidations with multiple organisations in the group, an organisation pick list will appear.
Select the relevant organisations for the user to access.
Select Users in the top right corner.
Above the user details, select the link to add the user as an Advisor.
Advisors have access to all files, unless a password has been set.
Alternatively, you can add an Advisor by:
Clicking Users from the main menu after login.
Selecting Create User.
Entering user details and selecting User Type: Advisor.
⚠️ Note: The System Administrator role has access to all organisations and manages the subscription.
When you log in to Magnifi, your access level is clear from what you see first:
Organisation-level access
You will land on the Home screen, which lists all organisations you belong to.
Each organisation will have an Edit (pencil) icon next to its name.
From here, you can open any file, manage settings, and adjust organisation details.
File-only access
You will go directly into the file that was shared with you.
The Home screen and organisation list will not appear.
You will not see organisation settings such as Audit, Subscription, or User Management.
📌 Tip: If you only see a file and expected organisation access, this usually means your advisor shared the file with you at the file level. Contact your advisor if you need organisation-level access.
Open the Users menu and select the user.
Select Reset Password.
The user will receive an email with login details.
They can log in with either the login code provided or their email address.
Advisors have access to all files within their subscription. You can restrict a users access to a file by setting a password for the organisation.
Use Custom permissions when you want to restrict access to certain features or reports.
If users don’t receive their reset email, ask them to check junk/spam folders.
